3. Personnel system: personnel management

The department will have a control system in place that carries out the following.

  • Contract of employment details. This includes salary, holiday entitlement and outline duties of the role.
  • Family and medical contact details in case of an accident or medical event.
  • Employment history both within the company and before joining.
  • Training record of each employee, both internal and external courses attended and did they achieve their outcomes.
  • Their training plan going forward, signed off by their line manager.
  • Formal qualifications and any informal skills they may have. Useful if a new project needs a certain skill set within the team e.g. someone who can speak a certain foreign language.
  • Amount of annual holiday still left and all booked leave.
  • Any sick leave taken or other kind of authorised absences such as bereavement.
  • Any unauthorised absence.
  • Any time off in lieu due to extra hours worked.
  • Disciplinary record (if any)
  • Bonus pay record (if any)
  • Any other rewards / awards given for good performance.
  • Any complaints made against them by staff or customers.
  • An annual appraisal record signed off by their line manager.
  • Personal targets set by their manager and their achievement record (or under-achievement to highlight a problem).
  • Any formal checks carried out for the role. e.g. CRB checks for someone in a sensitive role. Positive vetting for military / government contracts.
